Most people who call us about a banquet hall on Golf Course Road start with the same question: “How many people can you fit?” It’s a fair question, but after years of hosting everything from sangeet nights to sales kick-offs, we’ve learned it’s rarely the one that decides whether an event goes well.

So here’s what we’d tell a friend who was planning something in this part of Gurgaon, whether or not they end up booking with us.

Banquet hall set up for an event at Hotel Golf View Sakura & Suites, Golf Course Road, Gurgaon
Our banquet hall at Hotel Golf View Sakura & Suites, Sector 43.

1. Start with your real guest count, not the invite list

Invite 180 people to a weekday engagement and you’ll often see 120 walk in. Invite 60 colleagues to a Friday offsite and nearly all of them will show up. Before you shortlist venues, make an honest guess at how many people will actually be in the room.

That number matters because a hall that’s too big feels empty, and one that’s too small gets hot and loud. Our hall works best for gatherings of roughly 50 to 150 guests. For seated corporate formats, that’s about 120 in a classroom layout or 100 in clusters. If you’re expecting 400, we’re honestly not the right fit, and we’ll tell you so.

2. Location matters more on Golf Course Road than almost anywhere else

Anyone who has driven here at 7 pm on a weekday knows why. A venue that looks close on a map can still mean 40 minutes of crawling traffic for your guests.

We’re at 629–630, Sector 43, near the Sector 42–43 Rapid Metro station, and about a two-minute walk from One Horizon Center and Two Horizon Center. For corporate events, that means people can walk over from the office. For family functions, it means relatives can take the metro instead of hunting for parking. IGI Airport is about 18 km away, which helps when guests are flying in.

3. Ask where out-of-town guests will sleep

This is the question people forget until the last week. If your mehndi finishes at midnight and your cousins have come in from Jaipur, the easiest thing is for them to walk upstairs to a room.

That’s one of the biggest advantages of holding an event at a hotel rather than a standalone banquet venue. We have 62 rooms and suites in the same building, so your guests don’t need cabs at the end of the night, and nobody has to coordinate three different hotels.

4. Check the equipment, not just the chandeliers

Photos show décor. They don’t show whether the microphone cuts out halfway through a speech. When you visit a hall, ask to see the actual setup: the screen, the projector, the sound system, and whether wireless microphones are included or cost extra.

Our hall comes with screens, projectors, wireless microphones, a hi-fi audio system and a stage. For conferences and training sessions, fast Wi-Fi matters just as much, especially if someone plans to run a live demo.

5. Match the space to the type of event

A banquet hall on Golf Course Road can host very different events within the same week. Here’s what we see most often:

  • Pre-wedding functions: mehndi, sangeet, cocktail nights and engagement ceremonies, where the atmosphere matters more than the size of the room.
  • Corporate events: conferences, training sessions, offsites and interview days for teams based nearby.
  • Family celebrations: birthdays and anniversaries, which are often planned at short notice.

Each of these needs a different layout and a different pace from the staff. It’s worth asking any venue how often they host your type of event, rather than events in general.

6. Get everything in writing before you pay an advance

Before you pay anything, make sure the quote clearly lists the hall timings, what happens if you run over, the menu, the per-plate cost, taxes, the AV equipment, the décor, and the cancellation terms. A good venue won’t mind putting all of this on paper. If one does mind, that tells you something too.
